Small-business accountant fees: what should a quote include?

There is no single accountancy price that fits every business. A useful quote explains the work, your responsibilities and what happens when something falls outside the agreed scope. Here is how to assess a proposal before choosing a firm.

Explain the work behind the price

Your business structure, volume of transactions, quality of records and filing timetable all affect the work involved. A clean set of reconciled records is different from a year of mixed receipts requiring reconstruction. Payroll for a changing workforce or several income sources may need more attention than a simpler arrangement.

  • Which accounting period is covered?
  • Are records up to date and reconciled?
  • How many bank accounts and sales channels are involved?
  • Is there overdue work to resolve?
  • Are VAT, payroll or director records involved?

Separate regular work from one-off work

Ask for annual accounts, tax returns, bookkeeping, VAT returns and payroll to be described separately, even if they form one package. Confirm whether software subscriptions, onboarding, catch-up bookkeeping and specialist advice are included or charged separately. Ask whether VAT applies to the quoted fee.

If a monthly payment is offered, check what period of work it covers and any cancellation or outstanding balance terms. The payment schedule alone does not describe the services included.

Clarify responsibilities and additional charges

The proposal should explain what you must provide, when it is needed and how completed work will be approved. Ask how extra work is quoted and authorised, rather than assuming every question or change is included. If the business grows or the records change, agree when the scope will be reviewed.

Prepare for a meaningful quote

Before speaking to an accountant in Oldham or Manchester, prepare a short summary of your business, existing accounting arrangements and known deadlines. You do not need to send sensitive records in an initial website enquiry; agree an appropriate way to share documents after making contact.

Greenacres Accountancy offers a free initial consultation and agrees the work and fee before starting. We do not publish a universal package price because the proposal depends on the support your business needs.
